Overview

This course provides these key users with the skills to create sophisticated form templates that can be used by other people in a team, department or organisation and use the Word mail merge facility efficiently.

In order to produce consistent-looking documents within an organisation, Word offers the facility to create document "stencils" through user and workgroup templates; for individuals and groups of people respectively. It is essential that certain key Word users in the organisation are, therefore, responsible for creating and maintaining these templates.

The crux of creating templates for others to use is ensuring they are stored in the correct location for other users to access. Creating and modifying both paragraph and character styles, is essential to maintaining a consistent appearance.

The Mail Merge Summary: Sending letters to multiple recipients can be time consuming and laborious. Mail Merge allows you to quickly send the same or very similar documents to any number of recipients each being personalised with relevant data, addresses or references.

Skills Gained

By the end of the Designing Forms part of the course the delegate will be able to:

  • Explain the difference between a user template and a workgroup template
  • Create paragraph and character styles to standardise document appearance
  • Use document fields to automate document input
  • Record and edit macros and store them on customised toolbar buttons and to make the templates easy to use

By the end of the Mail Merge part of the course the delegate will be able to:

  • Explain and use the Mail Merge Wizard to create standard letters for multiple recipients
  • Create and use data sources from other programs
  • Use the Mail Merge Wizard to generate labels and envelopes
  • Use various query and filtering options to dictate which recipients receive the mailing

Prerequisites

Delegates must:-

  • Have the appropriate level of responsibility for creating templates for others
  • Have ideally attended either the Intermediate or Advanced course or at least be familiar with their content
  • Work regularly with Word in both short and long documents
  • Know how to format a document using both font & paragraph formatting techniques
  • Know what a Word paragraph "style" is
  • Know how to work with basic tables, tabs and indents
